A professional email address on your own domain — such as hello@yourbusiness.co.uk — projects credibility and reinforces your brand. If you have a domain name and a hosting plan, you almost certainly already have the ability to create these addresses. This guide walks you through the process step by step.

What You Need

To create an email address on your domain, you need: a registered domain name, and either a hosting plan that includes email accounts or a dedicated email hosting service. Most shared hosting plans include the ability to create email accounts at no extra cost.

If your domain is registered with one company and your hosting is with another, make sure your domain's MX records point to your hosting provider — these records tell the internet which server handles email for your domain.

Step 1: Log In to Your Hosting Control Panel

Access your hosting control panel using the login credentials provided when you signed up. In your control panel, look for an "Email" or "Email Accounts" section. This is where you create and manage email addresses on your domain.

Step 2: Create a New Email Account

Click to add a new email account and fill in the details:

  • Address — the part before the @ symbol (e.g. hello, info, yourname)
  • Domain — select your domain from the dropdown if you have more than one
  • Password — use a strong, unique password
  • Storage quota — how much storage space this mailbox gets (you can usually adjust this)

Click save or create, and the address is ready to use.

Step 3: Configure Your Email App

Your email address exists on the server; now you need to connect it to an app so you can send and receive messages. Your hosting control panel should provide the IMAP/SMTP settings — these are the server addresses and port numbers your email app needs.

Typical settings look like this:

  • Incoming mail server (IMAP): mail.yourdomain.co.uk, port 993 (SSL)
  • Outgoing mail server (SMTP): mail.yourdomain.co.uk, port 587 (STARTTLS) or 465 (SSL)
  • Username: your full email address
  • Password: the password you set in the control panel

In Outlook, go to File → Add Account and enter your details. On iPhone or Android, go to Settings → Mail → Add Account → Other and enter the same information. On Gmail, you can add a third-party account under Settings → See all settings → Accounts and Import.

Step 4: Test It

Send a test email from your new address to another email account you have access to, then reply from that account back to your domain address. Confirm that both sending and receiving work correctly.

Using Webmail

Most hosting plans also include webmail access — a browser-based email interface you can use without any app configuration. It is useful as a backup and for checking email from unfamiliar devices. The webmail URL is often something like mail.yourdomain.co.uk or webmail.yourdomain.co.uk.

Common Mistakes

  • Using POP3 instead of IMAP. IMAP keeps your emails synchronised across all devices. POP3 downloads emails to one device and removes them from the server. Unless you only ever check email from one device, use IMAP.
  • Not setting up a catch-all address. A catch-all receives any email sent to a non-existent address on your domain, so you do not miss messages caused by typos. Set one up in your email control panel.
  • Forgetting to set up MX records if your domain and hosting are with different providers. Without the right MX records, email will not be delivered to your server.

Setting up a domain email address takes around 15–30 minutes once you have the right information. If you get stuck, your hosting provider's support team should be able to help you with the specific settings for their platform.
